Auto-forward specific messages to an external email address using Outlook and Exchange 2003

Specific messages can be forwarded from Outlook to an external email address -- that is, an email address outside your Exchange organization -- using Outlook 2003 rules.

Begin by creating a new Rule in Outlook.

  1. Click Tools -> Rules and Alerts...
  2. Click New Rule...
  3. Click Start from a blank rule.
  4. Choose Check messages when they arrive and click Next.
  5. Configure the conditions you will use to select the messages you wish to forward and click Next (e.g. from people or distribution list or with specific words in the subject).
  6. Select redirect it to people or distribution list and configured the recipients, then click Next.
  7. Configure any exceptions then click Next.
  8. Name the rule and ensure the Turn on this rule checkbox is selected, then click Finish.

To forward to an address outside your organization, you must also turn on the Allow automatic forward feature on your Exchange 2003 server. To do this:

  1. Start Exchange System Manager.
  2. In the tree, expand your organization and the Global Settings nodes.
  3. Click on the Internet Message Formats node in the left pane.
  4. In the right-hand pane, right-click on the desired SMTP domain (the Default domain will apply to all SMTP domains) and click Properties.
  5. Click the Advanced tab.
  6. Check the Allow automatic forward checkbox.
